At The Fragrance Vault, we take product authenticity and quality assurance seriously.
As an independent reseller, we do not manufacture fragrances, and we do not knowingly source or sell counterfeit products. We work only with reputable distributors and trusted wholesale partners to maintain a reliable and secure supply chain.
To protect our customers and our business, and to prevent fraud or misuse of authenticity claims, we maintain a strict, structured authenticity review process.
By placing an order, you agree to follow the authenticity procedures outlined below.
1. How We Source Our Fragrances
We purchase inventory exclusively from:
- Industry-recognized wholesale distributors
- Verified fragrance suppliers
- Established overstock and authorized bulk partners
We take extensive steps to ensure that every product offered is genuine and sourced responsibly.
Because we are a reseller, we rely on the integrity of our suppliers—but we also actively monitor quality and batch patterns to maintain high standards.
2. Normal Packaging & Batch Code Variations
Variations are normal and expected across different production runs. These may include:
- Changes to bottle shape or cap style
- Slight variations in the tone or finish of glass/plastic
- Differences in packaging, labels, or fonts
- Updated or relocated batch code formats
- Reformulated versions of the same fragrance
- Regional packaging differences
None of these are indicators of counterfeit.
3. Reporting an Authenticity Concern (Must Be Within 3 Days)
If you believe thier may be an issue with your product, you must contact us within 72 hours (3 days) of the carrier’s delivery confirmation.
Provide:
- Your order number
- Clear photos of the bottle, box, labels, and batch code
- A brief description of your concern
Photos are used only for internal review.
Concerns submitted after 3 days may be ineligible for review.
4. Our Internal Review Process
Upon receiving your submission, we:
- Review your photos and description
- Compare against known batch patterns, supplier records, and packaging references
- Evaluate whether the concern indicates a need for deeper investigation
If the initial review does not show any red flags, we will document your case internally and consider it closed.
If further evidence is required, you may be asked for official documentation (see below).
5. Required Documentation for Escalated Authenticity Review
If your submission suggests a potential issue, we may request official documentation from a recognized authority.
Acceptable Documentation (Must Come DIRECTLY From the Issuing Source)
Documentation must be sent directly to The Fragrance Vault by the issuing organization (not by the customer).
Acceptable sources include:
- The fragrance brand/manufacturer
- An authorized fragrance authentication laboratory
- A recognized third-party testing agency with verifiable credentials
Documentation MUST Include:
- Customer’s full name
- Full product name & size
- Complete batch code
- Statement of findings (with specific explanation)
- Contact information of issuing authority
- Business credentials/website of testing organization
- Signature or official digital certification
- Date of assessment
- Case or reference number for verification
Documentation We Cannot Accept Directly From Customers
To protect against forged or fabricated reports, we cannot accept:
- Files attached or emailed by the customer
- Screenshots, PDFs, or photos supplied by the customer
- Informal community reviews (Reddit, YouTube, TikTok, Facebook groups)
- Personal comparisons (“my last bottle looked different”)
- Unverifiable or altered files
- Reports from unrecognized individuals offering “auth checks”
All documents must come directly from the issuing business or lab.
6. Required Return of the Product for Final Authentication
If the documentation validates the need for further investigation:
- We will issue a prepaid return label
- You must return the bottle, box, cap, packaging, and all components
- The fragrance must be returned unaltered, and in the condition received
Claims Are Automatically Voided If:
- The fragrance was tampered with
- The item returned does not match the item shipped
- The product is partially empty
- Components are missing or swapped
- We must receive the physical item before any final determination.
7. False or Abusive Authenticity Claims
The fragrance industry experiences significant fraud, including false claims to obtain refunds.
Therefore:
- Unsupported claims
- Repeated claims without evidence
- Claims based solely on appearance or personal opinions
- Fabricated or unverifiable documentation
may result in refusal of service and blocking of future purchases.
8. Chargebacks Related to Authenticity
If a customer files a chargeback before completing the authenticity review process:
- The authenticity claim becomes void
- The order becomes ineligible for any refund, credit, or replacement
- All support for that order is discontinued
- Future ordering privileges may be restricted
This policy is essential due to widespread chargeback abuse tied to counterfeit allegations.
